Roles and Permissions
Every member of your organization has exactly one role. The role decides what they can change and which seat they use.
The four roles
| Role | Can do | Seat |
|---|---|---|
| Owner | Everything an Editor can, plus manage members and invitations, billing, offices, company branding, and PDF export defaults | Project manager |
| Editor | Create, import, and edit schedules; baselines; share links; API tokens. Can see the member list but not change it | Project manager |
| Trade Updater | Update progress on the specific activities they've been granted | Superintendent |
| Viewer | Open, read, export, and print every schedule they can access. Can comment | Free |
Owners
Owners have company-wide access and can't be limited to specific offices. Only Owners can subscribe, change seats, open Manage billing, and manage members.
Your organization always needs at least one Owner. The app won't let you demote, disable, or remove the last one. You also can't disable or remove yourself, so to hand over ownership, make someone else an Owner first and have them change your role.
Trade Updaters
Trade Updaters are for superintendents and subcontractor foremen who report progress but shouldn't touch logic. On the activities they're granted, they can change only:
- Percent complete
- Remaining duration
- Actual start and actual finish
- Planned start and planned finish
They can't add activities, change links, or edit anything else. See Let subcontractors update their own activities.
Viewers
Viewers see the whole schedule but every editing control is read-only. They're free, so give this role to owners' reps, executives, estimators, and anyone else who needs to look but not change.
If someone outside your company only needs to see one schedule, a share link is simpler than adding them as a Viewer.
Changing a member's role
An Owner opens Members on the home page and picks a new role from the dropdown on that person's row. To change several people at once, select them and use Set role. Moving someone to a paid role needs a free seat of that type.
