Record Progress and Update the Schedule

A schedule update records what actually happened up to a cutoff date (the data date) and reforecasts everything after it. Do it at least monthly, and weekly on fast jobs.

Run an update

  1. Click Update progress in the toolbar.
  2. Set the Data date. It defaults to the last data date or today.
  3. Leave Reschedule unstarted work that slipped before the data date ticked. This moves work that should have started but didn't to the data date, which is how the update picks up delay.
  4. In the table, tick Update on each activity you're updating, tick Started if work has begun, and enter % complete. Remaining fills in from the original duration. Override it if the crew says otherwise.
  5. Click Update & recalculate.

The result shows how many activities were updated and how the project finish moved, for example "finish +4d", along with activities that joined or left the critical path.

What the update does to dates

  • Any percent above 0 sets the actual start.
  • 100% sets the actual finish to the data date.
  • Lowering an activity below 100% clears its actual finish.
  • Unfinished ASAP or SNET activities get an SNET constraint at the data date, so no remaining work is forecast in the past.

Which activities appear

The dialog lists activities that are in progress, plus those planned to start on or before the data date, up to the first 40. Milestones aren't listed. For larger updates, enter percent complete and actual dates directly in the grid, then run Update progress to move the data date.

Update progress needs an internet connection.

Let the field report progress

Superintendents can record progress from the Field view on their phone, and subcontractors can update their own activities with Trade Updater access. See Update progress from the field and Let subcontractors update their own activities.

After the update

  • Compare against the baseline: Analysis ▾ → Compare baseline. See Set a baseline and compare progress.
  • Run Analysis ▾ → Validation to catch actual dates after the data date and other update errors.
  • Send the owner a fresh share link or a PDF.
